Privacy Policy
A court record is personal. The people who order transcripts trust us with case details, contact information, and recordings of proceedings that matter to them. This policy explains what personal information Benchmark Transcription collects, why, and how we protect it, in keeping with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
We collect only what we need to prepare and deliver your transcript or respond to you:
- Contact details: your name, email address, phone number, and firm or organization.
- Order details: courthouse, court file number, proceeding type and dates, turnaround, and any notes you add. This also covers Transcript Order Forms you upload.
- Callback requests and messages: your preferred callback time and anything you tell us through the callback or contact forms.
- Proceeding recordings: audio and related material we receive from the court to prepare your transcript.
- Billing information: details needed to prepare quotes and invoices. We don't collect or store payment card numbers through this website.
- Technical information: standard server logs (IP address, browser type, pages requested, and timestamps), used to keep the site secure and working.
How we use it
- To request the recording from the courthouse, prepare and certify your transcript, and deliver it to you.
- To send quotes and invoices, and to confirm or follow up on your request.
- To return your call or answer your message.
- To meet our legal, accounting, and professional obligations.
- To protect the website against misuse.
We don't use your information for advertising, and we never sell, rent, or trade it.
Recordings and transcripts
Recordings of proceedings and the transcripts we prepare from them are treated as confidential. They're used only to produce the transcript you ordered, handled in keeping with the obligations of an Authorized Court Transcriptionist in Ontario, and shared only with you and the court, unless the law requires otherwise.
Court recordings and finished transcripts are never uploaded to this website or stored with any cloud service. They're kept only on our own secured devices. The one exception is delivery: your finished transcript is sent to you by email, so a copy passes through our email provider (see Storage and security below).
Cookies
This website uses only the cookies it needs to work: a session cookie and a security token that protects our forms from forged submissions. We don't use advertising cookies, tracking cookies, or third-party analytics cookies.
When we share information
We share personal information only when it's needed to provide our service or required by law:
- Courthouse staff, to request the recording of your proceeding.
- Service providers who host this website and deliver our email. They process information only on our behalf and must protect it.
- Legal authorities, when we're required to by law, court order, or regulation.
Storage and security
We protect personal information with safeguards that fit its sensitivity, including encrypted connections, access limited to authorized personnel, and secure storage. This website and the information you submit through it are hosted in Canada. Email, including order confirmations, delivered transcripts, and our correspondence with you, may be stored or processed by our email provider outside Canada, where it may be subject to the laws of that jurisdiction.
How long we keep it
We keep personal information only as long as we need it to fulfil your request and meet our legal, accounting, and professional record-keeping obligations. After that, we securely delete or destroy it.
Your rights
You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to our using it, subject to legal and contractual limits. Withdrawing consent may mean we can't complete your order. We'll respond to your request within 30 days.
